Adding more people does not automatically organize customer support. The team needs ownership, a record of commitments and a clear next step. CRM integration should preserve that context.

Where does the WhatsApp API fit?

WhatsApp Business Platform provides APIs for business messaging experiences. Meta describes CRM integrations, automated flows and routing to human agents among its uses. The working interface and team rules still need to be specified in the chosen solution.

Define queues, ownership and transfers

RAQO’s operational proposal separates waiting for assignment, active support and awaiting a reply. Each active conversation should have an identifiable owner and a transfer rule.

Consider a fictional furniture retailer. A customer requests a quote from sales, then asks about delivery. Logistics needs the relevant context without making the customer repeat everything, while each team should only access information appropriate to its work.

  • Route by topic, location or availability.
  • Show the owner and last interaction.
  • Record why a transfer happened and what remains pending.
  • Create a routine for unassigned or unanswered conversations.

Turn the conversation into a CRM step

The CRM record should contain what staff need to follow the opportunity: source, interest, owner and next activity. Copying entire conversations into every field makes retrieval harder and can spread unnecessary information.

Specify how returning contacts are recognized. Someone may come back days later or speak with another team. Explain how duplicate records are avoided and when a new opportunity should be linked to the existing contact.

Include messaging rules in the plan

Meta’s policy requires permission for subsequent contact and respect for opt-out requests. Business Platform replies without a template are allowed within the 24-hour window started or renewed by a user message; outside it, approved templates are required. Template approval does not replace recipient permission.

Automation must also provide a clear escalation path. Check current policies and pricing conditions during implementation.

What should be automated first?

Start with verifiable tasks: identify the topic, present options, retrieve permitted information or route a conversation. Make automation identifiable and provide a path to the team.

In the retail example, an initial flow could locate a request and identify the responsible department. Negotiating discounts, changing delivery dates or confirming unrecorded terms requires separate rules and potentially human approval.

How should improvement be assessed?

Track first-response time, unassigned conversations, transfers, pending work and resolution. Compare similar periods and investigate delays. More outgoing messages alone do not establish better service.

Before launch, test message arrival, assignment, transfer, continuity during agent absence and CRM recording. A demonstration should reproduce the working process, not just display chat bubbles.

Frequently asked questions

Does API access include a full help desk?

The interface, queues, permissions and integration must be specified. Do not assume API access includes every operational feature.

Can I message any list of phone numbers?

No. Follow recipient permissions and Meta’s current policies. A number in a spreadsheet is not proof of permission.

Can every opportunity have an owner?

Yes. Ownership, assignment, transfer and follow-up rules can be included in development and CRM integration.
